For writing, triage, summaries and non-sensitive internal tasks, the big commercial tools are excellent and quick to put into service. The risk is not the tool, it is what gets pasted into it. We deploy, we connect, and we write the charter that says what never leaves.
What we deploy
- ChatGPT, Claude, Gemini or Copilot — chosen per task, in business versions where your data is not used for training.
- Connections to your software (e-mail, quoting, shop, accounting, spreadsheets) through Make, n8n or Zapier.
- Shared prompts and document templates your teams can edit.
- Short user training: what the tool does well, what it makes up, how to review.
The data charter
- List of authorised tools and business accounts to use.
- List of forbidden data: customer identifiers, banking data, payroll, health, contracts, trade secrets.
- Who has access, who validates, where results are kept.
- What we do if forbidden data is pasted by mistake.
What is not included
- Tool subscriptions (taken out in your name, so you stay in control of your accounts).
- Processing sensitive data: as soon as a task touches it, we move it to Private AI.
- A guarantee on vendors’ availability or pricing, which we do not control.
When to switch to Private AI
- Volume makes usage-based subscriptions more expensive than a server.
- A task starts touching customer, payroll or financial data.
- A client, an insurer or a regulator asks you where the data is processed.
- You depend on a tool whose price or terms change without you.
